1. General Terms of Use

1. By accessing and using the ColourPlay CIC website and booking system, you agree to comply with these Terms & Conditions.
2. We reserve the right to update, modify, or replace any part of these Terms & Conditions at any time. Updates will be posted on our website.
3. ColourPlay CIC reserves the right to refuse service to anyone at our discretion, for reasons including but not limited to breaches of these terms or inappropriate behaviour during sessions.

2. Booking & Payment

1. Bookings for ColourPlay sessions can be made up to 60 days in advance via our online booking system.
2. Full payment is required at the time of booking to secure your space.
3. Amendments to bookings can be made up to 2 hours before the scheduled session start time, subject to availability. Amendments within 2 hours of the start of the booking may not be accepted, and no refund will be applicable.
4. Cancellations can be made up to 24 hours before the session start time, unless otherwise defined within the event or product description, or detailed product terms & conditions. Cancellations made within 24 hours of the session will not be eligible for a refund.
5. If a participant fails to attend a booked session without prior amendment or cancellation, no refund will be issued.
6. ColourPlay CIC reserves the right to change pricing at any time.

3. Use of Premises & Session Participation

1. All attendees of ColourPlay sessions are considered participants and must be included in the booking numbers.
2. "Babes In Arms" (young babies who are not participating in activities and who remain held in a parent or guardian’s arms or sling) do not need to be included in the booking numbers. If a baby is not held in a parent or guardian’s arms or sling and instead occupies a seat, plays, or otherwise engages with the space, they must be considered within the venue's numbers, will be deemed a participant, and an entrance fee will apply.
3. Participants must follow all health and safety guidelines provided by ColourPlay staff and adhere to the session rules.
4. Parents or guardians are responsible for the supervision and behaviour of their children at all times during the session.
5. ColourPlay CIC is not liable for any loss, damage, or injury occurring on the premises except in cases of proven negligence.
6. Participants must respect the facilities, equipment, and other attendees. Any damage caused intentionally or through reckless behaviour may result in liability for repair or replacement costs.
7. Participants are asked to respect the opening hours and available session times, and not to attempt early entry to the ColourRoom.
8. To allow for easy transitions between sessions, customers are asked to arrive promptly for their booked session and to avoid arriving too early or late.
9. If a participant anticipates early or late arrival, they should call ahead to request an amendment to their booking.
10. Subject to availability, ColourPlay may accommodate changes in booking time, including extending session durations where possible, subject to additional costs.
11. Guests are expected to be respectful of others at all times and to be considerate of any risks associated with their participation in activities and behaviour on the premises.
12. Customers shall be responsible for their own property and are asked to ensure that all personal belongings are removed from the premises at the end of their session.
13. ColourPlay will retain any items left behind in "lost property" for a period of 14 days. After this period, ColourPlay will dispose of personal belongings through charity donation or waste management as deemed appropriate.

4. FreeFlow Sessions

1. FreeFlow sessions are suitable only for young people aged 8 to 15 years old.
2. Parents or guardians are required to complete a registration form at drop-off for a participant’s first session. This form must include emergency contact details.
3. All FreeFlow sessions must be booked in advance.
4. A Block Booking discount voucher is available for purchase, allowing bookings in 4-week blocks at a reduced rate. This is subject to availability.
5. ColourPlay CIC reserves the right to change pricing at any time.

5. ASN Sessions

1. ASN Sessions are available to families and groups where one or more participants have an additional support need that requires exclusive use of the ColourRoom.
2. Users must register to join the ASN Family in order to access ASN Sessions. During registration, users will be asked to disclose the nature of the additional support need.
3. Upon acceptance of registration, users will be able to book exclusive use of the ColourRoom for their family or group.
4. ASN Sessions are subject to availability.
5. ColourPlay CIC reserves the right to withdraw session availability, limit the number of sessions available to any one booking individual, and adjust pricing at any time.
6. ColourPlay is not responsible for providing users with personal support and cannot be left in charge of any individual. Where required, participants should be accompanied by a suitable carer.
7. Where possible, practical, and reasonable, ColourPlay will make adjustments and accommodations to assist with any support needs identified at the time of booking.
8. Due to building and tenancy constraints, ColourPlay is unable to accommodate large or wide-based wheelchairs.
9. There are no disabled toilet facilities available on the premises.

6. ColourPlay Party Sessions

1. ColourPlay Party Sessions are available in two duration options: 90 minutes or 2 hours, starting at the selected or agreed booking time.
2. Parties have exclusive use of the ColourRoom throughout the session.
3. A per-person price is applicable for all parties.
4. Parties have a minimum guest number of 8 participants and a maximum of 14 participants, along with 2 supervising or spectating adults. The booking system will display a maximum party size of 16 at all times.
5. Cancellations must be made no later than 7 days prior to the booking date.
6. Bookings are initially submitted without payment to allow for approval by ColourPlay. Once a party booking request is confirmed, the initial deposit payment must be made within 48 hours to secure the booking.
7. ColourPlay CIC reserves the right to cancel a party booking if the initial deposit payment is not made within the required time frame.
8. Additional products such as party bags and upgraded art materials may be available.
9. ColourPlay CIC reserves the right to substitute snacks or upgrade materials if necessary.
10. ColourPlay CIC reserves the right to adjust pricing for ColourPlay Party Sessions at any time.

7. Home Education Dedicated Sessions

1. Home Education sessions are intended for families actively engaged within Home Education provision and local Home Education networking groups.
2. Home Education sessions are offered subject to availability.
3. ColourPlay CIC reserves the right to withdraw session availability, limit the number of sessions available to any one booking individual, and adjust pricing at any time.
4. For Home Education Sessions, cancellations or amendments require a minimum of 48 hours’ notice to allow us to make that space available for someone else. After that, it may be possible to move your booking to a later date up until 24 hours prior to your booked session, subject to availability.
5. Any cancellations made within 24 hours of your booked session will not be eligible for a refund.

7. Childminders Discount

1. The Childminders Discount is available for mid-week sessions, Wednesday to Friday, and is subject to availability.
2. ColourPlay CIC reserves the right to adjust the discount amount or withdraw the discount at any time without notice.
3. Childminders must provide valid evidence of registration in order to receive the discount.
4. Once approved, the discount membership will be valid for 12 months from the date of activation.
5. Discount membership can be renewed by submitting current valid evidence of registration.

8. Data Protection & Privacy

1. ColourPlay CIC collects and processes personal data in accordance with applicable data protection laws.
2. Personal data provided during the booking process will be used solely for session administration, communication, and customer service purposes.
3. We do not share personal data with third parties except where required by law or where explicit consent has been given.
4. Participants may request access to, correction of, or deletion of their personal data by contacting us directly.

9. Amendments & Cancellation by ColourPlay CIC

1. In the event that a session must be cancelled or rescheduled by ColourPlay CIC due to unforeseen circumstances, attendees will be offered a full refund or the option to transfer their booking to an alternative session.
2. ColourPlay CIC reserves the right to make changes to session formats, content, or availability as necessary.

10. Liability & Disclaimers

1. ColourPlay CIC provides art and craft sessions in a safe environment but cannot be held liable for any injuries, accidents, or loss of personal property.
2. Participants take part in activities at their own risk and must notify staff of any allergies, medical conditions, or additional support needs before attending a session.
